Reporting to the Director of Advancement, the Director of Events and Special Projects designs, manages and produces Gibbons High School advancement events. These events enhance the Gibbons brand, support and expand relationships, and raise philanthropic and sponsorship dollars.
The Director of Events and Special Projects works closely with members of the Advancement Team and is a direct liaison with vendors, facilities, staff, and volunteer committees whose combined efforts ensure the success of each event.
The Director of Events and Special Projects prepares event briefings for the Advancement Team to include capturing event attendance and affiliations for alumni.
This individual will:
Lead event planning and coordination for major advancement events (i.e. Leadership Donor Receptions, Crusader Classic Golf Tournament, Gibbons Gathers) and, in concert with Director of Alumni Advancement, support major alumni events.
Create and oversee detailed timelines for each event and develop briefings prior to each prospect visit or event to send to leadership, staff, and key volunteers.
Oversee the planning and execution of special events designed to support donor and parent engagement, stewardship, and fundraising initiatives.
Identify, recruit, train and manage volunteers for special events where volunteers serve as Chairs and form committees.
Manage episodic projects that help fund the life of the school (e.g., Grotto dedication, endowment breakfast, etc.)
Track event data, including registrations and attendance.
Organize high-touch stewardship efforts for important volunteers and donors.
Evaluate and understand current processes, systems, and new initiatives. Determine best practices that will provide efficiency and financial benefits to the school.
Collaborate with the Director of Marketing and Communications on event communication schedules, to create invitations, signage, programs, and any necessary social media posts working closely with designers and printers to execute collateral.
should have relevant background and experience in event planning for a variety of events
should have a bachelor's degree from an accredited college.
Excellent listening, speaking, and writing skills working with vendors, event attendees, and staff.
Attention to detail is a must.
Should have the ability and flexibility to solve last minute problems while maintaining composure and professionalism.
